Booking Procedure

Booking for the IBD+ 2025 is exclusively possible through the official online booking website of Mensa in Germany e.V., or as described further down under the heading "Booking by Letter".

We recommend booking early rather than just before the deadlines (see below), as there may be issues with your account; support by the office is only available during regular working hours.

 

Booking Deadlines

From to , you can compile your program by reserving events.
Please note that during this phase all reservations are considered wishes. After this phase, an algorithm will try to allocate the events to the interested parties in such a way that the fairness and wishes of all are maximized. For more detail on this concept please visit the page The Booking System.

For IBD delegates seats are reserved for the ice breaker, gala dinner, etc. – this will be taken into account by the algorithm.

On , no reservations are possible and the algorithm for the automatic event allocation will run. The outcome of the run are real bookings, or if no seat was available at some event, it will remain a request.

Until you may book additional events (if available) or put yourself on the waiting list as well as cancel some or all of your bookings free of charge – everything as you wish.
Shortly after midnight, the invoices are sent out by email and your bookings are confirmed. As of then bookings can neither be cancelled nor refunded.

From , additional bookings are still possible, but can only be cancelled the same day.
Shortly after midnight, you will be sent an invoice by email for the new bookings which as of then can't be cancelled any more.

On , the booking period ends – no more bookings are possible... except some vacant spaces at the IBD+ 2025 itself.
(This closure of booking gives organising committee the time needed to prepare the conference badges, tickets etc.)

At the IBD+ 2025 from to , you can buy conference badges and remaining tickets directly in the organisation office.

It can happen that some events have an earlier cacellation deadline – they are tagged accordingly in the event title and in this case the cancellation deadline mentioned in the event description is the valid one.

Transfer of tickets to other guest of the IBD+ 2025 is possible for non-person-specific ones (some events require registration by name, which is then indicated) if the recipient meets any age requirements, etc. Good places for exchanges are the bulletin board near the organisation office and mailing lists (e.g., M2M-Schwarzes-Brett-JT@mensa.de). The organisation office does not handle any transfer or resale.

Please note that your conference badge, including the public transport ticket and the organisation fee, is not transferable.

 

Payment / Deadlines / Booking Expiry

Please ensure timely payment for all invoices (especially the first one sent to you on ).

If you have granted Mensa in Germany e.V. a SEPA direct debit mandate for all outstanding amounts (and not only the membership fee), the money will be automatically debited from your account.

Alternatively you can transfer the money to the account of Mensa (IBAN DE03 5109 0000 0071 4586 01) after receipt of the invoice.

If you are from outside the EU - and only then -, you may send the money by PayPal to paypal@mensa.de.

If you use money transfer, or PayPal please specify the invoice number and your membership number or full name.

About 14 days after the invoices were sent and have not been paid, reminders are sent out. If the amount is not paid within 7 days after a reminder is sent, we reserve the right to cancel event bookings and allocate the seats to other interested IBD+ visitors. We will inform you of the cancellation by email. In this case, you will be charged an administration fee of 20 euros per cancellation.

All bookings made at the IBD+ 2025 can only be paid by SEPA direct debit mandate, or by PayPal as indicated above. We can not accept cash, account statements, transfer slips, deposit receipts, or other payment methods.

Members having a useable account for SEPA can set up a SEPA direct debit mandate after logging in on the Log in page at Myself > Bank Data. For non-members, a member can take over the invoice (settable in the online booking system under Myself > Relationships). Furthermore, such a mandate can be granted for payment on-site at the organisational office upon presentation of valid identification and the bank card.

Contact Information

All registered participants are required to provide a valid email address and regularly check for emails (including spam filters).

 

Kids and Juniors

We want to give families the opportunity to participate in events separately, so that children can experience something without their parents and parents can occasionally experience something without their children. However, Mensa cannot and thus will not assume supervisory responsibility. In particular, our volunteer guides do not supervise during travel to and from the event.

Please ensure that your children are supervised during all routes to and from events and during the events themselves – either by you or, by arrangement, by other trustworthy individuals who wish to attend the event instead of you. You decide who is responsible for which and how many of your children. Older children and especially teenagers can of course be independent if you trust and allow them to be. For certain events, you share responsibility with the local staff (explicitly noted in the event description), so you can have "free time."

It is best to fill out the parental consent form (Parental Consent Form) and leave one copy at the organisational office and give another copy to your child. Thank you.
Please note that you have to fill in the German parental consent form – due to German law it has to be the German form.

 

Couple and Family Bookings

Guests who do not make their own bookings but receive their event tickets exclusively through couple and family bookings must book the IBD+ 2025 themselves with their own account to pay the organisation fee and receive the public transport ticket by booking the dummy event "Someone else is booking everything for me via family or couple booking".

Note: If any other event has been individually booked by someone, booking the aforementioned dummy event is unnecessary but harmless, as it is free of charge, and the organisation fee is only charged once per person.

It is not allowed to book each other at the same event at the same time via family or couple bookings to increase the chances of ticket allocation by submitting your wishes twice – that would be unfair.

The organising committee reserves the right to cancel such bookings before the allocation of events starts.

If the persons booked using the couple or family booking options that are not IBD+ 2025 guests (or have been incorrectly entered), we reserve the right not to issue the tickets – we will inform the registered participants with incorrect bookings beforehand by email so that this can be corrected.

 

Waiting Lists

If you are on a waiting list for an event and a place becomes available, you will receive an email and have three days to accept or decline the booking – if the deadline passes without action, your waiting list slot expires.

Please be so kind and click the appropriate link in the received email immediately if you are no longer interested in the event so that others get a chance faster.

 

Refunds in Case of Cancellation by Mensa

If individual events are cancelled by Mensa, Mensa will refund the price paid by you for the event. If a visitor then does not attend any other event, Mensa will also refund the organisation fee.

We will inform you any cancellation by email and whether the amount will be refunded. Mensa will only refund the cost minus transaction costs if the amount is positive.

Mensa will make refund payments no later than 3 months after the event.

 

Special Regulations for Individual Events

If specific events have different dates, an earlier booking deadline, or special conditions like the need to supply a list of visitors, the regulations in the event description take precedence over these general conditions.

 

Booking by Letter

The booking for the IBD+ 2025 is exclusively done through the booking page in the online system of Mensa in Germany.

In case you do not agree to accept the General Terms and Conditions of Mensa Germany or simply can't book yourself, you can book by letter as follows:

Send a letter with your necessary contact details (first and last name, membership number, postal address, a valid email address, a phone number (mobile), and the age for persons under 18) along with your booking requests to our office (Mensa in Deutschland e.V., Wandlhamerstraße 2, 82166 Gräfelfing). You can either list the events individually or print out the list of all events and mark your desired ones. This letter must be signed – in case of minors by the legal representative. By doing so, you give Mensa the permission to make the booking for you in our online system and to store and process the corresponding data as if you had entered them yourself.

If you wish to book for other people as well, you must provide the complete contact details mentioned above for each person. If you want to book for people that are not a member of Mensa in Germany, they must have a guest account with Mensa in Germany (see Registration), otherwise the booking request cannot be fulfilled.

A booking request by letter will be processed within two working days (Monday-Friday) after the letter has been received by the office. You must ensure that the letter arrives at the office in due time, considering the general booking deadlines detailed above. If the letter arrives too late, the booking request will not be processed and will be completely discarded.

Submissions in electronic form are not accepted. A fax to the number +49 89 86 46 62 52 is acceptable in urgent cases.

Please note that booking requests without complete contact details and signature will be ignored. For unclear booking requests, you accept possible misinterpretations of your request or their non-processing. Please note that bookings made this way during the early booking phase are entered as wishes just like for other guests; bookings made after the event allocation will be placed on the waiting list if the event is fully booked. If a booking request conflicts with your existing bookings or those of persons you are booking for, the execution and selection of the booking, including non-consideration, is at the sole discretion of Mensa in Germany. If the conditions for the booked event (such as a minimum age) are not met and the booking is therefore not feasible, no booking will be made.

This service costs 25€ per submitted booking request per person plus 2€ per event booking per seat. These fees are charged regardless of whether you or the persons you booked for get a seat in the desired events. For the above reasons, there is no guarantee of a seat. Naturally, the usual costs for the organisation fee and events apply if the booking is successful.

If you have accepted the general terms of use (ANB) of Mensa in Germany or are willing to accept them, but do not have the necessary technology to book in the online system of Mensa in Germany or cannot use the system for other reasons you to state, you can send your booking request by letter or by email. The afore-mentioned costs do not apply in this case. (Please note that the lack of an account with Mensa in Germany is not a reason, as members have one and non-members can create one for free.)

In this case, the same deadlines and rules apply as described above with the following addition: You may send your booking request by email to office@mensa.de since by accepting our general terms of use you allow us to process your data in our booking system; since an email does not have a real signature the email with your booking wishes must be sent from the email address stored in your account with Mensa Germany.

 

Notes

Mensa is not a travel agency according to the regulations of directive (EU) 2015/2302 and §651a BGB.

At events where audio and video recordings are made, it is possible that individuals are merely recorded incidentally. This does not require consent. If you are photographed in a group photo, we assume by implication that you consent to the use of the image in the context of the event or in general reporting on the association's activities. Subsequent removal is not possible (e.g., in printed materials). If you do not wish to be recorded, please speak to the organising committee or the person responsible for the event beforehand.
