Booking after Seat Allocation
After the wishing phase, the algorithm allocates available spots based on the preferences you have marked. It ensures that you are never scheduled for two events at the same time and that you receive no event more than once in case you opted for several dates of the same event.
During the following
early booking phase, which lasts several weeks after the allocation, you can modify your program free of charge at any time. Additionally, the organisational fee is at its lowest during both the wishing phase and the early booking phase. At the end of this phase, the first invoicing cycle takes place, and cancellations are no longer possible.
Next comes the
regular booking phase, which ends two to three weeks before the event. During this time, you can still add events to your program. However, bookings are now invoiced at the end of each day and can no longer be cancelled. Additionally, the organisational fee is slightly higher for those who book at this stage compared to earlier bookings.
Finally, during the event itself, a limited number of remaining tickets will still be available.
Booking Page
At the start of the early booking phase, you can book events directly on the booking page, provided there are still seats available. If an event is fully booked, you have the option to join the waiting list and may still get a place if one becomes available.
The screenshot of the booking interface now displays which events still have free spots after the allocation process. In the expanded event sections (most are collapsed here to keep the image compact), you can see the availability. For example, the presentation still has some sears, so you can set the menu directly to "booked" (sorry, not yet translated, but "gebucht" is the dame) without needing to go through the "Pending" status first.
In case of a fully booked event like the company tour, you can put yourself on the waiting list – it set the status to "reserved" (well since not yet translated it is called "vorgemerkt"). Since in this case two seats are reserved, you'll be third in the list.
Priorities and Group Bookings
Priorities are not of any importance anymore since if a seat gets available it will be offered the first person on the waiting list.

Waiting List
If a seat on an event opens up (since someone cancelled or the organisation committee secured more seats) the first person on the
Waiting List will receive an email notification and have three days to accept the seat (or can directly decline the offer).
Please note that standard checks apply to ensure no scheduling conflicts and that you don’t book the same event multiple times across different time slots. There are a few exceptions, such as a city tour during the extended Icebreaker event, where overlapping bookings don’t cause conflicts. If you are next in line but have a scheduling conflict, you will be skipped.
After the first invoice, event cancellations are no longer possible. This means spots will only open if the organising committee is able to add additional capacity.
You can remove yourself from a waiting list at any time for free by clearing your booking status. More detail can be found under
